Your practice should run on therapeutic relationships, not scheduling headaches. Here's what to look for in a booking system as a therapist or counsellor.

Scheduling is one of those things that's supposed to be in the background. It's supposed to just work. But for a lot of therapists, it's not in the background. It's phone calls between sessions, voicemails you return at lunch, and mental overhead that follows you home.

What's different about scheduling for therapists

Therapy has some quirks that make standard scheduling advice only partly applicable. Sessions are often recurring, which creates a different dynamic than a one-off appointment. The client relationship is sensitive in ways that make the booking experience itself meaningful. And there's a real access question: if someone reaches out when they're ready to start therapy, and the friction to book is high, some of them won't push through it.

That last part is worth taking seriously. A missed appointment is lost revenue for you. But for a potential client who needed to reach out and got a voicemail instead of an easy booking experience, it might mean they put it off for another few months. The booking system isn't just an operational tool. It's part of the client experience from the very first moment.

Reducing missed sessions

The features that actually matter

Per-session type setup. You might offer a 15-minute consultation call, a 50-minute individual session, a 90-minute couples session, an initial assessment. Each should have its own duration and its own booking rules.

If you share a practice space with other clinicians, each person should have their own availability and their own booking calendar. Clients book with the specific person they're seeing.

And the calendar invite matters more than people realize. When the appointment lands in the client's Google or Apple calendar with a notification set, their own phone reminds them before you do. That's two reminders for the price of one.

Privacy and simplicity

You don't need your scheduling tool to double as a HIPAA-compliant records system, a billing platform, and a client portal all at once. Those are separate tools that exist separately for good reasons.

The scheduling layer should be clean and quiet. A good booking page, confirmation emails, reminders, and easy rescheduling. The more features a scheduling tool tries to add, the more things can break, and the more complicated it gets for clients.
