Appointment Reminder Email Templates (Copy & Paste, 12 Examples)
Free appointment reminder email templates for salons, barbers, massage therapists, personal trainers, therapists, tattoo shops, and more. Copy, paste, and cut your no-shows.
A good appointment reminder does three jobs: it tells the client when and where, it makes it easy to add to their calendar, and it makes it easy to reschedule instead of silently not showing up.
Most reminders only do the first job. That's why they don't cut no-shows as much as they could.
Below are copy-and-paste templates for the most common service businesses. Replace anything in [brackets].
The anatomy of a reminder that actually works
Before the templates, here's what every one of them includes and why:
- A subject line with the date and time. Clients should know what the email is about without opening it.
- The essentials, in order: service, date, time, staff member, address.
- A calendar invite. Once it's in their phone calendar, the phone reminds them too.
- A reschedule link. This is the single most underrated line in any reminder. A client who can't make it and has to call you will often do nothing. A client who can click a link will usually reschedule.
- Your cancellation policy in one sentence (if you have one). Not a wall of legal text - one sentence.
When to send: the day before is the best default. It's close enough that the client remembers, and early enough that a cancellation gives you time to fill the slot. For long or expensive appointments (tattoo sessions, colour corrections), add a second reminder 2-3 days out.
1. General template (any service business)
Subject: Reminder: your appointment tomorrow at [time]
Hi [first name],
Just a reminder of your appointment with [business name]:
[Service] with [staff name] [Day, date] at [time] [Address]
Add it to your calendar: [calendar link]
Can't make it? [Reschedule or cancel here] - it takes 30 seconds and frees up the slot for someone else.
See you tomorrow, [Business name]
2. Hair salon
Subject: See you tomorrow, [first name] - [service] at [time]
Hi [first name],
Your appointment with [stylist] is tomorrow:
[Service] - [day, date] at [time] [Salon address]
If you're coming in for colour, please arrive with dry, unwashed hair from the day before.
Need a different time? [Reschedule here]. We ask for [24] hours' notice for cancellations so we can offer the chair to someone on our waitlist.
[Salon name]
3. Barbershop
Subject: Your cut with [barber] - tomorrow [time]
Hey [first name],
You're booked in with [barber] tomorrow at [time] for a [service].
[Address]
Running late or can't make it? [Move your booking here] so someone else can take the chair.
[Shop name]
Short is good for barbershops. Nobody wants a paragraph about a fade.
4. Massage therapist
Subject: Reminder: [treatment] tomorrow at [time]
Hi [first name],
A reminder of your massage tomorrow:
[Treatment, e.g. 60-min deep tissue] with [therapist] [Day, date] at [time] [Address / room / parking notes]
Please arrive 5-10 minutes early so your full session time is spent on the table.
If you need to change your appointment, [reschedule here]. Cancellations with less than [24] hours' notice may be charged [policy].
[Practice name]
5. Personal trainer
Subject: Session tomorrow - [time] at [location]
Hi [first name],
Quick reminder about tomorrow's session:
[Session type] with [trainer] [Day] at [time] [Gym / studio / park + meeting point]
Bring water and a towel. If you've had any injury or pain since our last session, let me know before we start.
Can't make it? [Reschedule here] - sessions cancelled with less than [24] hours' notice count as used.
[Trainer name]
6. Therapist or counselor
Subject: Appointment reminder - [day] at [time]
Hello [first name],
This is a reminder of your appointment with [clinician name] on [day, date] at [time].
[Office address / video link]
If you need to reschedule, you can [change your appointment here]. Please give at least [48] hours' notice where possible.
[Practice name]
Keep therapy reminders neutral. Don't name the type of session in the subject line - clients may share an inbox or have notifications visible on a lock screen.
7. Tattoo shop
Subject: Your tattoo session with [artist] - [date]
Hi [first name],
Your session is coming up:
[Piece / session] with [artist] [Day, date] at [time] (approx. [X] hours) [Studio address]
Before you come in:
- Eat a proper meal beforehand
- Stay hydrated and skip alcohol the night before
- Wear clothing that gives easy access to the area
Your deposit is applied to the final price. If you need to move your session, [reschedule here] at least [48] hours before - late changes may forfeit the deposit.
[Studio name]
Send this one twice: 3 days before and the day before.
8. Nail salon
Subject: Reminder: [service] tomorrow at [time]
Hi [first name],
See you tomorrow for your [service] with [nail tech] at [time].
If you have existing gel or acrylic that needs removing and it's not in your booking, let us know so we can allow extra time.
Need to change it? [Reschedule here].
[Salon name]
9. Spa
Subject: Your spa appointment tomorrow - [treatment]
Hi [first name],
We're looking forward to seeing you tomorrow.
[Treatment] with [therapist] [Day, date] at [time]
Please arrive 15 minutes early to change and relax before your treatment.
If your plans change, [reschedule here]. Cancellations within [24] hours may be charged at [X]%.
[Spa name]
10. Dog groomer
Subject: [Dog's name]'s grooming appointment tomorrow
Hi [first name],
Reminder: [dog's name] is booked in for a [service] tomorrow at [time].
Please give [dog's name] a chance to go to the toilet before drop-off, and let us know about any new skin issues or sensitivities.
Need a different time? [Reschedule here].
[Salon name]
Using the pet's name in the subject line gets noticeably more attention than a generic subject.
11. Coach or consultant
Subject: Tomorrow: [session type] at [time] ([timezone])
Hi [first name],
Looking forward to our session tomorrow.
[Session type] [Day, date] at [time] [timezone] [Video link]
If there's anything specific you'd like to focus on, reply to this email beforehand.
Need to move it? [Reschedule here].
[Your name]
Always state the timezone for remote sessions.
12. Short follow-up for a same-day reminder
Only use this for high-value appointments, and keep it very short:
Hi [first name], see you today at [time] for your [service] with [staff]. Need to change? [Reschedule link]
Common mistakes that make reminders useless
- No reschedule option. "Call us to reschedule" means most clients won't. Put a link in.
- Sending too early. A reminder a week out is forgotten by the appointment day.
- Burying the time. Date and time should be visible without scrolling.
- A generic "no-reply" tone. A reminder from a person's name ("Jessica at [Salon]") feels less like spam.
- Doing it manually. The reminder you forget to send is the one that causes the no-show. This should be automatic.
Automate it instead of copying and pasting
These templates work, but sending them by hand every evening is exactly the kind of job that gets skipped on a busy day.
SlotSwift sends a confirmation as soon as a client books and a reminder the day before every appointment - automatically. Both include a calendar invite for Google, Apple, and Outlook, and a one-click link to reschedule or cancel.
See how it works on the appointment reminder software page, or estimate what no-shows currently cost you with the free no-show cost calculator.
Ready to put your bookings on autopilot?
SlotSwift takes 2 minutes to set up. Your clients book online, reminders go out automatically, and no-shows drop.
