How to Calculate Your No-Show Rate (and What It Costs You)
The no-show rate formula, worked examples for salons, therapists, and trainers, what counts as a no-show, and how to turn the rate into a yearly cost in dollars.
You can't fix what you don't measure. Most service businesses know no-shows are "a problem" but have no idea whether theirs is 2% or 15% - and the difference between those two numbers is often thousands per year.
Here's how to calculate it properly.
The no-show rate formula
No-show rate = (No-shows ÷ Total booked appointments) × 100
Example: You had 180 appointments booked last month. 14 clients didn't show up and didn't tell you.
14 ÷ 180 = 0.078 → 7.8% no-show rate
That's it. The formula is simple. The hard part is counting correctly.
What counts as a no-show (and what doesn't)
Be strict and consistent, otherwise your number drifts month to month.
Count as a no-show:
- The client didn't arrive and gave no notice
- The client cancelled so late the slot couldn't realistically be filled (define this - e.g. less than 2 hours before)
Don't count as a no-show:
- Cancellations with enough notice to rebook the slot
- Appointments you cancelled or moved
- Clients who arrived late but were still seen
Track late cancellations separately too. A late cancellation rate alongside the no-show rate tells you whether your reminders are working: good reminders convert no-shows into cancellations, and cancellations made early enough get refilled.
Which period to measure
Use at least a full month. Weekly numbers swing too much - one bad Saturday can double your rate. Three months is better if you want to spot trends or measure the effect of a change (like adding automated reminders).
Turning the rate into money
A percentage doesn't feel urgent. A dollar figure does.
Monthly cost = No-shows per month × Average appointment value
Yearly cost = Monthly cost × 12
Worked example: hair salon
- 3 stylists, 400 appointments per month
- No-show rate: 6% → 24 no-shows
- Average ticket: $70
24 × $70 = $1,680 per month, or $20,160 per year.
Worked example: massage therapist (solo)
- 70 sessions per month
- No-show rate: 5% → 3.5 no-shows
- Average session: $95
3.5 × $95 = $332 per month, or ~$4,000 per year.
Worked example: personal trainer
- 60 sessions per month
- No-show rate: 8% → ~5 no-shows
- Session price: $65
5 × $65 = $325 per month, or $3,900 per year - plus the travel time and programming you did for nothing.
Worked example: tattoo studio
Tattoo no-shows are rarer but far more expensive:
- 40 sessions per month
- No-show rate: 4% → 1.6 no-shows
- Average session value: $450
1.6 × $450 = $720 per month, or $8,640 per year.

Is my no-show rate "good"?
There's no single benchmark - it depends on your industry, your clients, and how far in advance people book. As a rough guide:
- Under 3%: you're doing well. Keep reminders going.
- 3-8%: typical for businesses without automated reminders. There's real money to recover.
- Over 8%: something structural is wrong - usually no reminders, bookings made far in advance, or no easy way to cancel.
The more useful comparison is you vs. you: measure for a month, change one thing, measure again.
What actually lowers the number
- Automatic reminders the day before. Clients forget. A reminder fixes most of that.
- A reschedule link inside the reminder. This converts silent no-shows into advance cancellations you can refill.
- Calendar invites. Once the appointment is in the client's phone calendar, their phone reminds them too.
- A clear, short cancellation policy - stated at booking and in the reminder.
- Shorter booking windows for new clients. Someone who books three weeks ahead is more likely to forget than someone who books for Thursday.
We cover these in more detail in how to reduce appointment no-shows.
Track it without a spreadsheet
If your appointments live in a booking system, you shouldn't need to count no-shows by hand. SlotSwift keeps every appointment's status in your dashboard, sends reminders automatically the day before, and gives clients a one-click reschedule link - the two changes that move the no-show rate the most.
