Calendly Alternatives for Service Businesses: Salons, Trainers, Therapists & More
Calendly is built for meetings, not appointments. Here's how Acuity, Square Appointments, Fresha, Setmore, and SlotSwift compare for salons, barbers, trainers, and therapists.
Calendly is excellent at what it was designed for: letting people book meetings with you. Sales calls, interviews, consultations over Zoom.
A haircut, a massage, or a personal training session is a different kind of booking. You have services with different durations, often several staff members who each offer different services, sometimes multiple locations, and clients who expect to pick who they're booked with. Calendly can be bent to do some of this, but it isn't what it's built around.
If you run a service business, here are the alternatives worth looking at - including where each one is weaker.
Pricing and features change often. Always check each vendor's current pricing page before deciding.
What a service business actually needs
Use this as your checklist when comparing:
- A service menu - each service with its own duration (and optionally price)
- Per-staff availability - clients pick a stylist, barber, or therapist and see only their open times
- Double-booking prevention across staff and locations
- Automatic reminders before each appointment
- Self-service rescheduling and cancellation - without calling you
- No account required for clients - every extra step loses bookings
- Predictable pricing - watch for per-staff fees and per-transaction fees
1. Acuity Scheduling
Good for: practices that need intake forms, packages, and payments in one place - coaches, wellness practitioners, some therapists.
Acuity (owned by Squarespace) is one of the most feature-rich schedulers around: custom intake forms, packages and memberships, payments, and lots of configuration.
Watch out for: the depth comes with setup time. If you just want clients to book and get reminded, you'll be configuring settings you don't need. Pricing tiers scale with features and staff count.
2. Square Appointments
Good for: businesses that already use Square for card payments and point of sale - salons, barbers, nail studios.
The big advantage is that booking, payments, and POS live together. If your card reader is already Square, that integration is hard to beat.
Watch out for: it makes most sense inside the Square ecosystem. If you use a different payment provider, you lose the main reason to choose it. Payment processing fees apply on transactions.
3. Fresha
Good for: salons and spas that want marketplace exposure as well as booking software.
Fresha combines booking software with a consumer marketplace where clients can discover salons nearby. Its model relies heavily on payment processing and marketplace fees rather than a flat subscription.
Watch out for: read the fee structure carefully, especially fees on new clients who find you through the marketplace. Clients booking through a marketplace are also shown other businesses.
4. Setmore
Good for: very small businesses that want to start on a free tier.
Setmore offers a free plan and paid plans with more staff and features. It covers the basics: booking page, staff calendars, reminders.
Watch out for: check which features (such as certain reminders or branding removal) require a paid plan for your team size.
5. SlotSwift
Good for: salons, barbers, massage therapists, trainers, therapists, tattoo shops, and groomers who want online booking, reminders, and self-service rescheduling - without a complicated setup.
This is our product, so take this section with that in mind. What it does:
- Public booking page - clients pick a service, a staff member, and a time
- No account needed for clients: name, email, phone number
- Confirmation email with a calendar invite (Google, Apple, Outlook) immediately after booking
- Automatic reminder the day before by email (with calendar invite) and SMS
- One-click reschedule or cancel link in every email
- Multiple staff and multiple locations, with double-booking prevention
- Flat pricing: $19/month, $190/year, or $399 one-time - no per-staff fees
What it doesn't do (yet): SlotSwift doesn't take payments or deposits and doesn't include intake forms or client records. If any of those is a must-have for you, one of the options above is a better fit.

How to choose in 10 minutes
- Do you need to take deposits or payments at booking? If yes, shortlist Acuity, Square, or Fresha.
- Are you already on Square for payments? If yes, try Square Appointments first.
- Do you want marketplace exposure and accept marketplace fees? Consider Fresha.
- Do you mainly want clients to book themselves, get reminded, and reschedule without calling you? A simpler tool like SlotSwift or Setmore is usually faster to set up and cheaper to run.
Then do the one test that matters: book an appointment as if you were your own client, on your phone. If it takes more than a minute or asks the client to create an account, your clients will feel that friction every time.
