Massage Therapy Cancellation Policy Template (Free, Copy & Paste)

A ready-to-use massage therapy cancellation and no-show policy template, plus how much notice to require, what to charge, and how to communicate it to clients kindly.

A same-day cancellation in a massage practice is almost impossible to fill. The slot is gone, and so is the income. A clear cancellation policy doesn't just let you charge for that - it quietly reduces how often it happens.

Here's a template, followed by guidance on adapting it.

Massage cancellation policy template

Cancellation & no-show policy

When you book, that time is reserved just for you. Out of respect for our therapists and other clients waiting for appointments, we ask for the following:

Changes and cancellations: Please give at least [24] hours' notice if you need to cancel or reschedule. You can do this anytime using the link in your confirmation or reminder email.

Late cancellations: Appointments cancelled with less than [24] hours' notice will be charged [50% / 100%] of the treatment price.

No-shows: Missed appointments without notice will be charged [100%] of the treatment price.

Late arrivals: If you arrive late, your treatment will be shortened so the next client isn't kept waiting. The full treatment price applies.

Illness: If you're unwell - including cold or flu symptoms - please let us know as early as possible. We'd rather reschedule than have you on the table feeling ill, and we'll [waive the fee / use discretion].

Gift vouchers and packages: Late cancellations and no-shows count as a used session.

Thank you for understanding - it helps us keep appointments available for everyone.

Choosing your notice period

24 hours is standard for most massage practices and spas and what clients expect.

48 hours makes sense for:

  • Long treatments (90-120 minutes) that block a large part of your day
  • Couples massages or multi-therapist bookings
  • Mobile massage, where you plan travel around the booking

What to charge

  • Late cancellation: 50% is the gentle option; 100% is common for established practices with a waitlist.
  • No-show: 100%. There's no reason to treat a no-show more gently than a late cancellation.

A policy you can't collect on has limited teeth. If you don't take a card at booking, be realistic: many practices collect the late-cancel fee at the client's next visit, or simply require prepayment after a second no-show.

The "illness" clause matters

Massage is close contact work. If your policy punishes clients for cancelling when they're sick, some will come in sick instead. Waiving the fee for genuine illness (reported as early as possible) protects you and your other clients.

How to share it without sounding harsh

  • Frame it around fairness, not penalties: "that time is reserved just for you" reads very differently from "failure to cancel will result in charges."
  • Show it at booking - on your booking page and in the confirmation email.
  • Repeat it in one sentence in the reminder: "Need to change? Reschedule here - we ask for 24 hours' notice."
  • Use the same wording every time. Consistency is what makes it feel like policy rather than a personal complaint.

Reduce the number of times you need it

The best cancellation policy is one you rarely have to enforce. Two things do most of the work:

  1. A reminder the day before. It catches clients who forgot, and lands right at the 24-hour cutoff so those who can't come tell you in time.
  2. A one-click reschedule link. Clients who have to call during your working hours often put it off until it's too late. A link lets them move the booking at 10pm, which gives you the whole next morning to fill the slot.
