Personal Trainer Cancellation Policy: Free Template + How to Enforce It
A copy-and-paste personal trainer cancellation policy template, how much notice to require, what to charge for late cancellations and no-shows, and how to enforce it without losing clients.
Every personal trainer eventually has the same week: two clients cancel an hour before their session, one doesn't show at all, and you've driven across town for nothing. That's when you realise you need a cancellation policy - and that it needs to be written down.
Here's a template you can use today, plus the decisions behind it.
Why a written policy matters
A policy that lives only in your head can't be enforced. When a client cancels late, you're forced to decide on the spot whether to charge them - and most trainers don't, because it feels awkward.
A written policy removes the awkwardness. You're not making a judgement about this client; you're applying the rule they agreed to.
It also changes behaviour before anything goes wrong. Clients who know a late cancel counts as a used session plan around it.
The template
Copy this, replace the [brackets], and send it to every client before their first session.
Session cancellation policy
I reserve each session time exclusively for you, and I plan your programme in advance. To keep things fair for everyone:
Cancelling or rescheduling: Please give at least [24] hours' notice to cancel or move a session. You can reschedule using the link in your reminder email or by contacting me directly.
Late cancellations: Sessions cancelled with less than [24] hours' notice will be [charged in full / deducted from your package].
No-shows: If you miss a session without notice, it will be [charged in full / deducted from your package].
Running late: If you arrive late, the session will still end at the scheduled time.
If I need to cancel: If I cancel or reschedule with less than [24] hours' notice, your next session is [free / you'll receive a credit].
Exceptions: Genuine emergencies and illness will be handled case by case. [One late cancellation per [3 months] will be waived.]
By booking a session, you agree to this policy.

The decisions behind the template
How much notice should you require?
24 hours is the most common and the easiest for clients to accept. It gives you a realistic chance to offer the slot to someone else.
Consider 48 hours if you:
- Travel to clients' homes
- Book outdoor or rented spaces that you pay for
- Have a waitlist but clients need more notice to fit in a session
Shorter than 12 hours rarely works - by then you can't refill the slot, so the policy doesn't protect anything.
What should a late cancellation cost?
The two common approaches:
- Pay-per-session clients: charge the full session price, or 50% if you want to be gentler.
- Package clients: deduct the session from the package. This is the easiest to enforce because no money changes hands - the session is simply used.
Whatever you choose, charge the same for late cancellations and no-shows. If no-shows cost more, clients who know they can't come are motivated to... not tell you.
Should you have a grace rule?
A single waived late cancellation per few months keeps the relationship human without making the policy meaningless. It also gives you a way to be generous on purpose, instead of inconsistently.
What about your own cancellations?
Include them. A policy that only binds the client feels one-sided. Offering a free or credited session when you cancel late makes the whole thing feel fair - and clients are more likely to respect it.
How to enforce it without losing clients
- Share it before the first session. Not after the first late cancel. Put it in your welcome message and on your booking page.
- Make the right behaviour easy. Most late cancellations happen because rescheduling is a hassle - texting, waiting for a reply, negotiating times. A reschedule link in the reminder email lets clients move a session in 30 seconds, and they'll do it earlier.
- Send reminders the day before. A reminder 24 hours out lands exactly at your policy cutoff. Clients who can't make it know it's their last chance to move without penalty.
- Apply it the first time. The first exception you make without saying so becomes the new policy.
- Keep the conversation short and neutral. "Hi [name], as per the cancellation policy this session has been deducted from your package. Let's get you booked in for next week - here's my link."
Where the policy should appear
- In your welcome message or onboarding email
- On your booking page or website
- In one short sentence in every reminder email
- In your package or payment terms if you sell packages
Let the system do the reminding
The easiest way to make a cancellation policy work is to reduce the number of times you need it. SlotSwift sends every client an automatic reminder the day before their session, with a calendar invite and a one-click link to reschedule - so clients move sessions in advance instead of cancelling late or not showing up.
