Tattoo Deposit Policy: Template, How Much to Charge & How to Stop No-Shows

A copy-and-paste tattoo deposit and cancellation policy, how much deposit to take, when it's refundable, and how reminders stop expensive tattoo session no-shows.

In most service businesses, a no-show costs you one appointment. In a tattoo studio, it can cost you a whole day - plus the hours you spent drawing the design.

That's why almost every serious studio takes a deposit. Here's a policy you can adapt, and the reasoning behind each part.

Deposit & cancellation policy

A non-refundable deposit of [amount / X% of the estimated price] is required to book any tattoo appointment. Your appointment is only confirmed once the deposit is received.

What the deposit covers: Your deposit secures your artist's time and covers design work. It is deducted from the final price of your tattoo [on your last session / on your first session].

Rescheduling: You may reschedule [once] with at least [48] hours' notice and keep your deposit. Changes with less notice, or further reschedules, require a new deposit.

Cancellations: If you cancel, your deposit is not refunded.

No-shows: If you miss your appointment without notice, your deposit is forfeited and a new deposit is required to rebook.

Late arrival: If you arrive more than [30] minutes late, your appointment may be treated as a no-show.

If we cancel: If your artist needs to cancel, your deposit is carried over to your new appointment in full [or refunded on request].

Deposits are valid for [6 months] from the date paid.

How much should a tattoo deposit be?

There's no single standard, but most studios use one of these:

  • A flat amount for small or walk-in-sized pieces (so it's simple to explain)
  • Roughly the price of one hour of the artist's time for larger work
  • A percentage (often 20-30%) of the estimated total for big custom pieces

The deposit should be large enough that losing it matters to the client, and large enough to cover the drawing time if they vanish. It shouldn't be so large that it scares off first-time clients booking a small piece.

Refundable or non-refundable?

Non-refundable is the norm - the deposit pays for design work that's already done and time that's been held. The fair balance is to let clients reschedule with notice and keep their deposit. That separates people with genuine life changes from people who simply don't turn up.

Multi-session pieces

For sleeves and back pieces, decide upfront:

  • Is the deposit applied to the first session or held until the last? Holding it until the end protects you if a client abandons a piece halfway.
  • Does each session need its own deposit? Some studios take one deposit for the piece; others take a smaller one per session.

Write the answer into your policy so there's no argument at session three.

A deposit alone isn't enough

Deposits make no-shows less likely, but clients with a deposit on the line still forget dates, mix up times, and double-book themselves - especially when the session was booked two months ago.

What actually protects the day:

  1. Two reminders - one 2-3 days before and one the day before. Long gaps between booking and session are where tattoo appointments get forgotten.
  2. Aftercare and prep in the reminder - eat beforehand, hydrate, no alcohol. It makes the reminder useful, so clients actually read it.
  3. A reschedule link. A client who can move their session with 48 hours' notice will usually do it. A client who has to DM you and wait for a reply often leaves it too late.

We go deeper on this in appointment reminders for tattoo shops.
